Job Description
Human Resources
1. Process recruitment, reference check, hiring and maintain associate files and associates information up to date
2. Create systems, implement, monitor and ensure all internal HR operational standards and procedures are adhering to.
3. Assist with and carry out the duties of Director of Human Resources in creating an effective and efficient operation of the department
Essential Functions
Human Resources
1. Maintain and up to date job vacancies listing, Job post, Job Advertisement in all approved channels.
2. Coordinate the screening of all application forms for suitability of employment.
3. Processes employment confirmation and new hiring package.
4. Preparation locker room, Hotel’s asset and coordinate with Linen for uniform standard.
5. Have intensive knowledge on how to perform time attendance and basic knowledge to access Eagle System.
6. Responsible for update complete Team Member profile Eagle (HRIS) system.
7. Ensure all personnel records are maintained accurately and secure.
8. Maintain close relation with all local authorities.
9. Assist in developing and maintaining an appropriate skills data base.
10. Assist Department Heads in maintaining current knowledge and understanding of contemporary Human Resources issues.
11. Assist in the formulation of Human Resources/Training Strategies.
12. Ensure the standards of “best practice” are developed and encourage line management commitment to their implementation.
13. Consider political and social influences on business.
14. Implement appropriate management practices that provide hosts motivation and communication.
15. Provide one to one instruction to hosts members when required.
16. Interact with department and hotel hosts in a professional and positive manner to foster good rapport, promote team spirit and insure effective two-way communication.
17. Update Team Member profiles, reports, letters, memorandums and other relevant business documentation.
18. Ensure all reporting and servicing deadlines are met in a timely basis.
19. Answer the telephone and handles the call according to hotel standards.
20. Handle host inquiries and requests and ensure that these are passed on to the appropriate individuals for appropriate action.
21. Liaise with other clerical hosts and department heads to ensure information is passed on in a timely and accurate manner.
22. Distribute all mail, correspondence and memos in an accurate and timely manner.
23. Raise storeroom requisitions and collect items from the stores.
24. Maintain update records, and update general information board.
25. Ensure that the administration office is maintained in a clean and tidy fashion.
26. Assist in the maintenance of efficient administration preparing and submitting report on time as directed.
27. Be a representative of Human Resources Department as a committee for our hotel activities
28. Perform the other duties as assigned by Director of Human Resources.
Training
1. Assist to organize reward and certification programs.
2. Keep records of each individual host on every training he/she attended of the hotel in the HR system.
3. Assist in creating competitions or projects to sharpen skills and knowledge.
4. Assist in coordinating departmental cross-training.
5. Implement training function and conduct training programs which are certified by HR & Training Manager.
6. Maintain hotel training records for legislative on a regular basis.
7. Implement tools and services to ensure training and development programs meet the hotel’s objectives.
8. Assist implementing methods for evaluating cost-effectiveness of training programs.
9. Assist in purchasing stock/inventory according to purchasing procedures and specifications.
10. Assist with the planning and delivery of Orientation Program.
11. Carry out other tasks as directed by HR & Training Manager.
General
1. Contribute to the morale and team spirit of the hotel by maintaining effective relationships with colleagues.
2. Perform additional duties as directed by the Director of Human Resources.
3. Stay current with developments in the field of Human Resources and make appropriate suggestions and recommendations to Director of Human Resources.
4. Be fully conversant with all health and safety, fire and emergency procedures.
5. Maintain a high standard of personal hygiene, dress, uniform, and body language.
6. Be polite and professional in any situation where the image or regulation of the hotel is represented.
7. Attend meetings and trainings as required by the Director of Human Resources.
8. Ensure that all activities are carried out honestly, ethically, and within the parameters of local Law.
Other
1. Perform individual’s duties to achieve goals and objectives of the departments.
2. Encourage team spirit and morale to the hotel staff.
3. Be productive on time, accurate information and quality work.
Occupational Health and Safety
1. Identify and control all aspects of risk management and implement strategies to minimize incidents and accidents.
2. Monitor, evaluate and implement strategies to ensure manual handling techniques are undertaken by all hosts.
3. Review and update all necessary protective clothing, equipment and utensils to ensure the department is operating with minimal risks.
4. Monitor and assist in the review of all workplace incidents and accidents.
5. Assist in the implementation of Return to Work plans for injured workers.
6. Ensure all hosts work under the strict guidance of the OH&S Act and identify training needs.
7. Ensure all equipment is serviced and maintained in a way that reduces risks or harm to anyone.
8. Use safe manual handling techniques at all times.
9. Review hosts’ knowledge on emergency procedures including evacuation and implement training and development on a regular basis at least twice a year.
